Customising your Video Call clinic
Design your clinic with the functionality and apps that suit clinic workflows
Video Call is flexible and configurable, and depending on your workflow and functionality requirements, your clinic can be set up to suit your needs. Staff set up as clinic administrators can include practice managers, admin staff, reception staff and any other roles responsible for clinic oversight. They have access to various customisation options, some of which are outlined below - visit this page to see a comprehensive list of the available clinic configuration options. How patients access your virtual clinic
Each clinic has a link for patients to use to access the clinic waiting area, and there are several options available. Click the buttons at the top of each section to access more information.
Patient access to the clinic
The patient link for each clinic is located in the right column of the waiting area, under Share the link to your waiting area. Copy the clinic link and send to your patients using your current appointment booking workflow. You can also:
- Use your clinic software to book an appointment – copy the link and integrate with your clinic software by creating a Video Call appointment booking template in your practice/clinic software.
- Send appointment information and the clinic link directly from the Waiting Area via SMS or Email.
- Direct patients to a button on your website.
- Generate a patient appointment flyer that includes your clinic link and QR code to make it easy for your patients to access Video Call appointments.

Create patient invitation templates
Create email and SMS invitation templates for the clinic. Clinic staff then have the option to choose a template when they select SMS or Email under Share the link to your waiting area. This makes it easy to create templates that suit the clinic workflows and processes.

Video Call patient tips
Share this page with your patients, giving them information regarding tips for attending a video consultations. Patients have the option to select their preferred language and download the information in PDF form.

Customising the patient journey
Clinic administrators set up the clinic options for the best clinician and patient experience. The information below covers some of the main options suited to primary care consultations.

Patient waiting experience
You can configure a Custom Waiting Experience for your clinic, which enables you to provide waiting content that suits the needs of the patients accessing the clinic waiting area. This includes video, images and audio options. There is a Healthdirect content option available for all clinics to use.

Automated messages for patients
Create messages with set timings that will send to your patients automatically while they wait.

Send notifications to waiting callers
Send personalised notifications to individual callers, or to multiple callers in the waiting area.

Supporting information for callers
Supporting information can include a support message, privacy and other policies and an option to add a custom URL where callers can access Video Call via your website.

Add clinic support details
Add one or more clinic support contacts that will display in the under Waiting Area Settings (RHS of the clinic waiting area). This will let your staff know who to contact if they require assistance.

Configure the call screen
You can brand the call screen to suit your clinic needs, including adding your clinic logo. Click the buttons at the top of each section to access more information.

Customise the call screen to suit your clinic needs, including adding your clinic logo, choosing the background colour, default video feed size (host image size) and whether to display a call duration timer for all calls.

Enabling and configuring Apps
There are a range of Apps purpose built for Video Call and these can be enabled and configured to suit the clinic needs. Click the buttons at the top of each section to access more information.
App configuration
Clinic administrators set up the Apps they make available for the clinic. There is detailed, step-by-step information in the linked page to assist. Apps that are well suited to primary care consultations include Virtual Forms (with Bulk Billing Consent), Patient Consult Summary and Live Captions.

Set up a survey or other link
You can set up a survey to get feedback from call participants regarding their Video Call experience. Participants will be directed to the link once the call ends. Add one feedback survey for all, or add separate surveys for hosts and patients. Please note, you need to link to a survey you have already created.

Information about Apps & Tools - share resources
During consultations, users can share their screen, share and annotate documents and images, collaborate on a shared whiteboard, download shared files and share multiple cameras, including medical cameras and scopes using Video Call Apps & Tools.
